Terms & conditions

The terms that apply when you register for a NextMind conference, submit an abstract or use this website.

1. Scope

These terms apply to every registration for a conference, seminar or workshop organized by NextMind Conferences and to the use of this website. By registering you accept these terms together with our Cancellation & Refund Policy and Privacy Policy.

2. Registration and payment

  • A registration is confirmed only after the full fee has been received. Acknowledgements and visa invitation letters are issued after payment.
  • Fees are due at least three days before the start of the event unless a different date is stated on the invoice.
  • Online payments are processed by third-party payment gateways under their own terms. Refunds of online payments are subject to the gateway’s procedures and timelines.
  • Group and student rates require proof of eligibility on request.

3. Personal use and no commercial trading

Registrations are for the personal use of the named participant, or of the registered group, and may not be transferred, resold or used for commercial purposes. Substitution of a participant from the same organisation may be requested in writing before the event.

4. Programme changes

We reserve the right to change the programme, speakers, venue or dates where necessary. Registered participants are informed by email and the website is updated. Section 4 of the Cancellation & Refund Policy applies to events affected by force majeure.

5. Abstracts and intellectual property

Authors retain copyright in the abstracts and presentations they submit. By submitting, authors grant NextMind Conferences a non-exclusive licence to publish the abstract in the conference proceedings, programme and website. Authors confirm that submitted work is original and does not infringe third-party rights.

6. Conduct

Participants are expected to behave professionally and respectfully towards other delegates, speakers, staff and venue personnel. The organizer may refuse admission or remove any participant whose conduct is disruptive, without refund.

7. Confidentiality and recording

Event materials are provided for personal use. Recording of sessions is not permitted without written consent. Photographs and recordings made by the organizer may be used for documentation and promotion; please tell us at registration if you do not wish to appear in them.

8. Liability

Participation is at your own risk. To the extent permitted by law, NextMind Conferences is not liable for personal injury, loss of or damage to property, or travel and accommodation costs incurred in connection with an event, including when an event is cancelled or postponed.

9. Data protection

Participant data is treated as confidential and processed in accordance with our Privacy Policy.

10. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
